Returns & Cancellations Policy

This policy applies to all orders placed with KG Warehouse Equipment.

All equipment sold is business-to-business, freight-shipped, and specification-driven. Many systems are configured, fabricated, or allocated per order. As a result, return and cancellation rights are limited and strictly governed by production stage and equipment type.

This policy exists to prevent structural misuse, freight loss exposure, and resale of non-compliant system components.


1. Custom-Configured and Made-to-Order Systems

Custom-configured, engineered, fabricated, modified, or non-stock systems are non-returnable.

This includes, but is not limited to:
  • Configured pallet racking systems
  • Engineered layouts or load-rated assemblies
  • Custom-height uprights or cut beams
  • Powder-coated or custom-finish components
  • Conveyor systems built to specified dimensions
  • Modified shelving or workstation assemblies
  • Equipment allocated or built to project-specific specifications
Once any of the following occurs, the order is final and cannot be canceled or returned:
  • Supplier release
  • Engineering review completion
  • Drawing approval
  • Production scheduling
  • Fabrication start
  • Material allocation
  • Custom finish processing
  • Freight booking

Signed layout approvals, written specification confirmations, or purchase order release constitute acceptance of configuration responsibility by the buyer.


2. Installed or Modified Equipment

Installed, assembled, field-modified, cut, drilled, painted, altered, or partially installed equipment is not eligible for return.

This includes:

  • Racking systems erected on site
  • Components with anchor holes drilled
  • Beams or uprights cut or modified
  • Opened hardware kits
  • Systems integrated into facility layouts

Structural components removed after installation cannot be reintroduced into resale inventory and are therefore non-returnable.


3. Standard (Non-Custom) Stock Equipment

Certain stocked, non-modified items may be eligible for return only if all conditions below are met:

  • Written Return Authorization (RA) is issued in advance
  • Request is submitted within the approved return window
  • Equipment is unused and uninstalled
  • Equipment remains in original packaging
  • Equipment is in resalable condition
  • Supplier approval is obtained

Returns shipped without written authorization will be refused at dock.

Return eligibility is not automatic and is determined at the sole discretion of the supplier.

Clearance, liquidation, special-order, and discontinued items are final sale.


4. Restocking Fees

Approved returns of eligible stock equipment are subject to restocking fees.

Typical restocking fees range from 15% to 35%, depending on:

  • Supplier policy
  • Equipment category
  • Return condition
  • Packaging integrity

Original outbound freight charges are non-refundable.
Administrative or supplier processing fees may apply.


5. Freight Responsibility on Returns

All return freight is the responsibility of the buyer.

Buyer responsibilities include:

  • Prepaid freight
  • Proper palletization and secure packaging
  • Insurance coverage during transit
  • Protection against transit damage

Equipment must be returned in original or equivalent protective packaging. Re-crating may be required.

Damage incurred during return transit voids return eligibility. Damaged return shipments may be refused or reclassified as non-returnable.

Freight class differences between outbound and return shipments remain the buyer’s responsibility.


6. Cancellation Policy

Orders may only be canceled prior to supplier release and production initiation.

Once any of the following occurs, cancellation is not permitted:

  • Engineering validation
  • Production scheduling
  • Fabrication start
  • Custom material allocation
  • Freight booking

If cancellation is approved before production begins, cancellation fees may apply.

All cancellation requests must be submitted in writing.


7. Order Modifications

Order modifications are not guaranteed and may not be possible once production or allocation begins.

Requested changes may:

  • Trigger repricing
  • Restart lead times
  • Require renewed engineering review
  • Alter freight classification
  • Void prior commercial terms

Approved modifications are subject to written confirmation.

Buyers are responsible for verifying dimensions, load ratings, finish selections, layout compatibility, and facility constraints prior to written approval.


8. Partial Returns

Partial system returns are generally not accepted.

Structural systems are designed and rated as assemblies. Removal of select components can compromise configuration integrity and resale eligibility.

Exceptions, if any, require written supplier approval.


9. Contractual Overrides

If a master service agreement, enterprise contract, or project-specific agreement exists, its terms may supersede this policy.

Absent a signed agreement stating otherwise, this policy governs all transactions.


Policy Intent

Warehouse systems are structural, load-rated, and freight-intensive assets. They are not consumer goods.

Return limitations protect:

  • Structural integrity standards
  • Safety compliance
  • Freight exposure
  • Engineering correctness
  • Inventory quality control

Pre-order specification validation is strongly recommended to avoid non-returnable configurations.
